Sharing Live Designs Outside of the Workspace

As part of its support for Global Sharing, the Altium 365 platform provides the ability to share your designs with people outside of your Workspace team - either for viewing and commenting only, or for editing - without the need to invite them into that team. This allows invited stakeholders to view/edit (as applicable) a live, work-in-progress design project, without gaining access to your full server of design data.

  • If granted viewing access only, the invited stakeholder can view and comment on the design from within Altium NEXUS, or through the Altium 365 Platform Interface. As the relevant members of your Workspace team make changes to the design and commit them, those changes can be viewed 'live' by those external people. To view the shared design through the web interface, from anywhere, all that's needed is registration with AltiumLive to gain access.
  • If the invited stakeholder has been granted editing rights to the design, then they can open and edit from within Altium NEXUS - perfect for external contractors.
To register with AltiumLive - and hence gain access to the Altium 365 Platform Interface - use the direct URL: https://365.altium.com, then click the Register control at the bottom.
Prefer to share a static snapshot of a design instead of the live design? Not a problem. The Altium 365 platform provides the ability to upload and store 'snapshots' of your designs for viewing and sharing on a permanent basis. For more information see Sharing Design Snapshots.

Sharing a Design with Others

Once a project is managed (registered with/available to the Workspace), you can share it with others (provided you yourself have access to do so). Sharing with people outside of the Workspace team can be performed in two places:

Support for sharing a project outside of the Workspace from within Altium NEXUS - for viewing and commenting only - was made available in Altium NEXUS 20.1. To be able to share a project outside of the Workspace for editing from within Altium NEXUS, and indeed to open such a shared project for editing, requires Altium NEXUS 20.2 or later.

To share a project from the Workspace's browser interface, select the project entry on the Projects page of the interface and click the  button.

Also available in the graphical view of the Projects page by selecting the tile for the required project, then clicking the  control and choosing the Share command from the context menu. When the Projects page is presented in its list view, click the  control at the far right of the entry for the required project and choose the Share command from the associated menu.

The Share window will appear, with all the controls necessary to share the project with other users.

With your design projects centrally managed in a Workspace, sharing with others is simply a case of managing each project's permissions.

You can share a project for editing or for viewing, with users outside of your Workspace team. You can share with:

  • Other AltiumLive users from within your own organization.
  • AltiumLive users from different organizations.
  • Non-AltiumLive users (who will need to then register for AltiumLive accounts).

There are three key pieces of information to supply in the Share window when sharing with people outside of your Workspace team, as illustrated in the following image and detailed thereafter.

  1. Enter the email of the person to share the project with in the Share Project With field. As you type, people within your existing team will be listed in a dynamic pop-up. To share with a user outside of your organization - irrespective of whether they have an AltiumLive account or not - you must enter their full email address and press Enter.
A project can be shared with multiple people. To remove an entered person, click the  control associated with the entry.
  1. Set the sharing access permissions for the added person (people) from the associated drop-down menu by selecting Can View or Can Edit. The setting applies to all entries included in the Share Project With field.
  2. Click the  control to access a textual area if you wish to include information that relates to the sharing arrangement for this project.

With the required information defined, click the  button to proceed with sharing the project. The Sharing Outside of the Workspace window will appear, offering the following options:

  • Share for Viewing - click this option to proceed with sharing the project, but with view-only permissions.
  • Share for Editing - click this option to proceed with sharing the project, with editing rights.

You can share a project with anyone outside of the Workspace team, for editing or viewing.

Sharing with a user outside of the Workspace team for editing is perfect for contractors - where you want them to actively work on the design, but without bringing them in to your team.

Choose the option required - the project will be shared with the person (people) and they will receive an email notifying them that the project has been shared with them. They can open the project in Altium NEXUS, or access it through the Altium 365 Platform Interface (from the Shared with Me page).

Within Altium NEXUS, the non-workspace team member with whom the project has been shared can access the project using the File » Open Project command. The Open Project dialog will appear, from where they can choose which managed project to open from the Shared With Me location.

Onward Sharing

A non-team member with whom a design project has been shared live, can further share that design with others - onward sharing as it were. This can be performed from:

  • The Share dialog within Altium NEXUS.
  • Within the Shared with Me page of the Altium 365 Platform Interface. Selecting a live design tile will present various controls and commands. Click the  control and choose the Share command, or click the  button, to access the Sharing window with which to share the design with others, by email invite.
A person with whom a project has been shared with outside of the Workspace team, can share a project with others for editing or viewing, depending on the level of access they themselves have. So if they have editing rights, they can share with others for either editing or viewing. If they only have viewing rights, then they can only share with other users for viewing and commenting.

A person invited to edit/view a live design can further share that design with others as needed.

Viewing a Live Design

Access to view a shared live design in the Altium 365 Platform Interface's integrated Viewer - which opens in a separate browser tab - can be made in the following ways:

  • The person with whom you shared the live design will receive an email invite to access that design through Altium 365. Once they click the  button in the email they will be taken to the Altium 365 Sign In page (unless already signed in to the platform, or their AltiumLive account). Upon signing in, they will be taken to the Viewer, with the shared design loaded.
If the person does not have an AltiumLive account, they will need to register for one first - a link is provided on the Altium 365 Sign In page.

  • Any live design that has been shared with you will be available from the Shared with Me page of the Altium 365 Platform Interface. A live design is denoted by the  icon within its tile. To open in the integrated Viewer, select the design of interest, click the  button within its tile, then choose the Open command from the associated menu. Alternatively, double-click directly on the tile (or click on the name of the design).

Viewer Features

The integrated Viewer used to present the data contained in a shared live design uses the Web Viewer interface. This interface offers a range of capabilities that allow detailed access to the design's data and layout. You'll be able to search, select, cross-probe, and inspect components and nets throughout the design and across the various sub-views as applicable. And when viewing the board in 2D, you can even take measurements. Other features such as the Comments system communicate directly, and in real-time, with Altium NEXUS.

The features available through the interface are exactly the same as those available to a Workspace team member, when accessing the Design view of the Projects Management page for the project. Altium 365's Web Viewer functionality provides an immersive and interactive experience for reviewing the source schematic and PCB documents in your shared live design. Shown here is a schematic - hover over the image to see the PCB (in 3D).

Downloading Design Source Files

From any document view within the integrated Viewer click the  button (at the top-right of the view) to download the source files for the design currently being viewed into a Zip archive.

The source files for a shared live design can also be downloaded from within the Shared with Me page of the Altium 365 Platform Interface. Selecting a design tile will present various controls and commands. Click the  control and choose the Download command, or click the  button (at the top-right of the page), to download the source files in a Zip archive.

Deleting a Shared Live Design

You can delete any shared live design that has been shared with you, and is currently presented on the Shared with Me page of the Altium 365 Platform Interface. To do so, select the design tile, click the  control, and then choose the Delete command. A warning window will appear alerting you to the fact that you will lose access to the design, but other collaborators will continue to have access to it. Click the  button to effect the deletion.

Any live design that has been shared with you can be deleted. This affects your access to it only - other collaborators retain their access to it.

If the project is soft deleted by a Workspace team member that has access to do so - moving it into the Trash area of the Workspace - then the tile for that shared design will be removed automatically from your Shared with Me page.
