Altium Concord Pro on A365 - Inviting Other Users to Your Team

New users can be added for access to your Workspace - inviting them to the Team - in a number of ways. You are able to invite:

  • Other AltiumLive users from within your own organization.
  • AltiumLive users from different organizations.
  • Non-AltiumLive users (who will need to then register for AltiumLive accounts).

This document looks at the various ways in which to invite other people into your Workspace's Team, and thereby facilitate productive collaboration.

Only an administrator for your Workspace can manage the team for that Workspace, including users, roles and sessions. For more information see Managing Your Team.

Invitation from within Altium Designer

From within Altium Designer, new users can be invited into the Workspace Team when (ensure that you are connected to your Workspace):

  • Sharing a managed project in the Workspace.
  • Sharing a folder of content in the Workspace.
  • Sharing an Item in the Workspace.
  • Sharing the revision of an Item in the Workspace.

The invitees will receive an invitation email with which to gain access to the Workspace (or project within that Workspace, if specifically sharing a project).

As part of support for ECAD-MCAD CoDesign in Altium Designer - in conjunction with having Altium Concord Pro hosted on Altium 365 - you can share a project with a Mechanical Engineer at the time of pushing the PCB to your Workspace and, in doing so, invite that person into your Workspace Team (if not already a member). Invitation from the Workspace Browser Interface

When browsing the Workspace through the Altium 365 Platform Interface (https://365.altium.com), new users can be invited into the Workspace Team from a number of places, as detailed in the following sections.

Invitation by an Administrator

An administrator for the Workspace can invite a user from the following areas of the Workspace's browser interface:

  • From the Team page by clicking on the  button, located at the top-left of the page. Alternatively, click the Invite Team Members tile within the main listing of current team members.
While the Team page is accessible by all current users of the Workspace - standard (non-administrative) users, as well as administrators - only admins can invite new users into the team.

  • From the Users page (Admin - Users) by clicking on the  button, located at the top-left of the page.
The Users page is accessible only by administrators of the Workspace.

The Team Members Inviting window will appear with which to enter the email for the prospective user. As you start to type, if the email address belongs to another AltiumLive user within your own organization - and who is not already part of the Team - they will be listed for you to choose. If inviting users outside of your organization, irrespective of their AltiumLive status, you will need to enter their full email address. You can also specify which of the existing roles (if defined) the user is to be made a member of, if required. Start typing the name of a role in the Roles field to pop-up a list of matching roles. Select the required role from this list.

Click the  control to access an area to enter a note. This will be added to the email invite that the invitee(s) receive.
Multiple emails can be entered for invitation to the team. To remove a user email click the delete cross, to the far right of its name. Bear in mind that if any roles are defined, they will be applied to all users being invited.

Once all details are filled out and specified as required, click the  button. For a user that already has an AltiumLive account (irrespective of whether they are in your own organization or not), they will be added to the team straight away. A non-AltiumLive user will need to sign up/register for an AltiumLive account before they are added to the team. The invitees will receive an invitation email with which to gain access to the Workspace.

Invitation when Sharing a Project

To configure access permissions for a project from the Workspace's browser interface, select the project entry on the Projects page of the interface and click the  button.

Also available in the 'preview' display mode of the Projects page by selecting the tile for the required project, then clicking the  control and choosing the Share command from the context menu.

The Share Project window will appear, with all the controls necessary to share the project and, through doing so, invite users to your Workspace Team. Start typing the user's name or email in the Share Project With field. A pop-up list will dynamically change to present all matching users currently defined within the Team of the active Workspace (to which you are currently connected), followed by all matching AltiumLive users within the organization to which that Workspace is associated. If inviting users outside of your organization, irrespective of their AltiumLive status, you will need to enter their full email address.

Multiple users can be chosen. To remove an entered user, click the delete cross associated with the entry.

Click the  button to confirm the updated sharing permissions for the project. What happens next depends on the type of user being invited:

  • A user that is already part of your Workspace Team will be added to the access list for the project directly. They will receive an email notifying them that the project has been shared with them (and what access rights they have to it).
  • For a user in your own organization that already has an AltiumLive account, they will be added to the Workspace Team, the project will be shared with them, and they will receive an invitation email with which to gain access to the project within the Workspace.
  • For a user that already has an AltiumLive account, but who is not in your organization, a pop-up window will alert you to this and ask if you would still like to invite them. Click . They will be added to the Workspace Team, the project will be shared with them, and they will receive an invitation email with which to gain access to the project within the Workspace.

  • A non-AltiumLive user will receive an invitation email with which to gain access to the project within the Workspace. However, they will first need to sign up/register for an AltiumLive account before they are added to the Workspace Team. Once they have signed up to AltiumLive, they are subsequently added to the Workspace Team and the project will be shared with them.

Invitation when Sharing a Folder and Item

  • Folder Sharing - from the Explorer page of the Workspace's browser interface, sharing permissions for a folder can be set after the folder has been created. Sharing controls are accessed by right-clicking over the folder's entry, and using the Share Folder command from the context menu. The Share window will appear in which you can configure sharing as required and, through doing so, invite users to your Workspace Team. Click the Add User control.

  • Item Sharing - from the server's browser interface, sharing controls are accessed by right-clicking over the Item's entry and using the Share Item command from the context menu. The Share window will appear in which you can configure sharing as required and, through doing so, invite users to your Workspace Team. Click the Add User control.

In the subsequent Add Users window, start typing the user's name or email. A pop-up list will dynamically change to present all matching users currently defined within the Team of the active Workspace (to which you are currently connected), followed by all matching AltiumLive users within the organization to which that Workspace is associated. If inviting users outside of your organization, irrespective of their AltiumLive status, you will need to enter their full email address.

Multiple users can be added through the Add Users window.

After adding the required users and defining the access level (using the Permission field), click . Then click  again, back in the Share window. What happens next depends on the type of user being invited:

  • A user that is already part of your Workspace Team will be added to the access list for the entity directly.
  • For a user in your own organization that already has an AltiumLive account, they will be added to the Workspace Team, the entity will be shared with them, and they will receive an invitation email with which to gain access to the Workspace.

  • A non-AltiumLive user will receive an invitation email with which to gain access to the Workspace. However, they will first need to sign up/register for an AltiumLive account before they are added to the Workspace Team. Once they have signed up to AltiumLive, they are subsequently added to the Workspace Team and the entity will be shared with them.

Receiving an Invitation Email

Each invited user who is not currently a member of your Workspace Team will receive an invitation email. One of two styles of email invite can be received:

  • Generic Workspace Invite - received when the user has been added directly to the Workspace (through its browser interface), or when a folder, Item or Item Revision within that Workspace, has been shared with them.

  • Specific Project Collaboration Invite - received when a managed project within the Workspace has been shared with the user.

After clicking the  or  button in the email, what happens next depends on whether the invitee already has an AltiumLive account or not:

  • Invited user has an AltiumLive account - they will be taken to the AltiumLive signin page if not already signed in, after which they will be delivered to either:
    • the Home page of the Altium 365 Platform Interface,

The Home page will present a getting started guide to get the user up and running with Altium Concord Pro, unless the user has access to any uploaded files, or manufacturing packages, in which case these will be presented instead.
  • or the CAD-centric Projects Management view for the project (which opens in a separate tab of their browser).

  • Invited user does not have an AltiumLive account - the user will proceed to an intermediate AltiumLive registration form, with which to define their details, and specify a password.

After signing up they will be added to the Workspace Team, the relevant entity will be shared with them, and they will be taken to the Home page of the Altium 365 Platform Interface, or the CAD-centric Projects Management view for the project (which opens in a separate tab of their browser), respectively.

All Administrators for the Workspace will receive a notification email that a new user (presenting their email address) was invited and added to the Workspace.
The non-AltiumLive user, upon signing up, will be treated by AltiumLive as if they were their own personal organization. They will not be added to your organization.
